The Organization Administration Users section is where new users are created and some details are managed.
- Create logins
- Manage Name, Email, Address, Phone number, Administrator status, application access, passwords, and lock-outs.
Organization Administration Access
Access to the Organization Administration section of the application is restricted to Users who are tagged as an Administrator here at Organization Administration Users. From the Dashboard, click "Admin" on the menu (top-right).

Columns
Login - Full email address recommended. When creating a new User, do not make a mistake with the User's Login, it cannot be edited.
First name, Last name
Phone contact number
Email is recommended to also be used as the UserID/Login.
Is Locked Out - Incorrectly entering a password five times when logging in will cause a User to be locked out of the application.
Administrator (Org)
- Yes = Organization administrator
- No = No access to this section of the application. Client Administrator is assigned at Client Admin User Security.
Status
- Full Access - Access to the application
- Disabled - Login denied. Users cannot be deleted, only Disabled for the preservation of log files.
- Reports Only - Only access to the Reports section
- rSquared - rSquared personnel (the same as Full Access)
Address Line 1, Address Line 2, City, State/Province, Zip
Primary Organization
Add New User
- Click the "Add New User" button.
- UserID: Unique login, commonly the User's full email address
- Password: A secret word or phrase that must be used to gain admission. Passwords must contain at least one numeral.
- Email: Used for notifications and access restoration.
- User Status:
- Full Access - Access to the application
- Reports-Only - Only access to the Reports section
- Disabled - Blocks login
- Admin User: Grants user Organization Administrator rights
- In addition, standard contact information fields (First Name, Last Name and Address) are also available.
- Click "Create User."
Note: After creating a new User, Roles & Permissions (Client and Budget), as well as, Portfolio(s) need to be assigned/attached in Client Admin User Security.
Import (Excel)
- Click the "Import" button on the toolbar; the "Import New Users" window appears:
- Click "Download Input File."
- Click "Input file is ready. Click here to download it."
- Open file or save locally and then add data. The Status, Administrator and Country columns contain drop-down selection lists.
- Click the "Choose File" button and then select the import file.
- Click "Upload and Import."
- The Status section of the window will display the results in red font and the user that imported will receive a status email.
Note: After creating a new User, Roles & Permissions (Client and Budget), as well as, Portfolio(s) need to be assigned/attached in Client Admin User Security.
Attach Existing User
Alert: This functionality is normally only used by rSquared. Adding existing users to organizations is not a common practice.
- Click the "Attach Existing User" button on the toolbar or right-click select from the menu; the "Attach Existing User to Organization" window appears.
- Enter Login Name: and Email:.
- Click "Find;" the window populates with User information.
- If the User is to have Organization Administration rights, check the Admin User: box.
- Click "Confirm User."
Note: After attaching an existing User, Roles & Permissions (Client and Budget), as well as, Portfolio(s) need to be assigned/attached in Client Admin User Security.
Edit
Note: Login cannot be edited.
Edit Password
- Select/highlight User in the grid.
- Click the "Edit Password" button on the toolbar or right-click select from the menu; the window appears.
- Enter New Password: and Retype New Password:.
- Click "Save/Close."
Send Email
- Select/Highlight User and click the "Send Email" button on the toolbar or right-click select from the menu; the "Email Notification" window appears.
- Enter Subject: and Message:.
- Check the Only Send to: box if the User selected is the only one you want to receive the email. If unchecked, all Users whose Status = Full Access will receive the email.
- Click "Send."
Info: The default Template: = None. The others are used by rSquared.
Search By
Filter User list based on selected parameter.
- Select the Search By: parameter: Email, Login, First Name, Last Name
- Enter text in box.
- Click "Filter." Grid returns filtered User list.
Is Locked Out
The "Is Locked Out" check box filters the User list to just display those who are currently locked out of the application.
Alert: Incorrectly entering a password five times when logging in will cause a User to be locked out of the application.
- Click in the box.
- The grid returns all Users who are currently locked out of the application.
- Remove check mark and all Users are listed in the grid.
Display Active Users Only
Checked = Grid will hide inactive Users and only display active Users.
Delete
Note: A User cannot be deleted. Instead of being deleted, Users are disabled (Status = Disabled) to preserve the accuracy of log files.
