Assigning a Project Role to a User
- Select Project User Security from the Navigation Tree on the left. Pane 1 will populate with a list of all users for the Organization. Those users who have been assigned a status of “Disabled” at the Organization level will be grayed out, meaning that they cannot be assigned a Project Roles.
- Highlight the user in Pane 1 to which a Project Role will be assigned. Click “Edit” in the Pane 1 Toolbar (or right mouse click and select “Edit”) and enter data in the following fields:
- Roles Name: From the drop down box, select the Roles to which the user will be assigned. The drop down box is populated with “Roles and Permissions” set up at the Client Administration level and is filtered by the “Organization Status” of the user (i.e., Users with an Organization Status of “Full Access” will have a different set of available Roles that those with an Organization Status of “Reports Only." The available Roles are determined by the “Category” setting on the “Roles and Permissions” page). Note: The default Roles Name for each user is “None,” however, the Client Administrator who added the Project will have a default Roles Name of “Project Administrator."
- Project Status: Select “Enabled” to activate the assigned Roles for the user. To disable a user from the Project, select “None” from the “Roles Name” drop down box and “Disabled” from the “Project Status field.
- Click “Save” in the Pane 1 Toolbar (or right mouse click and select “Save”).
Assigning Building(s) to a User
A Project may contain one or many Buildings, although it is typical for a Project to contain multiple Buildings. After a Project Roles has been assigned to a user, the Building(s) within a Project which will be accessible by the user must be assigned. In a similar fashion, Buildings that have previously been assigned to a user may be unassigned if the Project Administrator no longer wishes for the user to access such Buildings.
- Highlight the user in Pane 1 for which Building access rights will be assigned.
- Click the “Assign Building(s)” button in Pane 2. The “Assign Buildings” window appears as follows:
A list of all available Buildings within the Project appears in the left window entitled “Available Buildings." Use the arrows to assign and/or unassign Buildings from the user. When the desired Building(s) appear as “Assigned Buildings," click “Save.” Pane 2 will now display the Building(s) that have been assigned.
Info: This screen allows multiple Buildings to be assigned/unassigned to a single user at one time. There may be times when it is more efficient to assign/unassign multiple users to a single Building. This may be accomplished by the Project Administrator within the “Buildings” section of Project Administration.
Disabling a User from a Project
If it is necessary to disable a user, the Project Administrator should:
- Unassign all Buildings from the user.
- Edit the “Roles Name” for the user from the previously assigned Roles to “None.”
- Change the “Project Status” for the user from “Enabled” to “Disabled."
