Settings
Ctrl + Alt displays the numeric keyboard shortcut.
The Settings tab is where users can define default settings for new properties and folders.
Settings Fields
Default Property Type allows user to change the default property type in the "Add New Property" window when creating a new property. Choices are Commercial, Multifamily or Hospitality. System default is "Commercial".
Default Folder Term (Years) allows user to assign a default term in years for a new folder when adding a folder in the Folder Explorer tab. System default is 10 years.
Default Property Term (Years) allows user to assign a default term in years for a new property. System default term is 10 years.
Default Folder Report Begin Date (Months Offset from Current Date) allows user to define a default Folder Report Begin Date based on an offset to the current month. For example, if the current month is January and this field has a "2", a new folder created today will have a Report Begin Date of March 1. System default is "0". Note, the value can be negative to indicate # of months prior to the current month.
Default Property Analysis Begin Date (Months Offset from Current Date) allows user to define a default Property Analysis Begin Date based on an offset to the current month. For example, if the current month is January and this field has a "2", a new property created today will have an Analysis Begin Date of March 1. System default is "0". Users
Ctrl + Alt displays the numeric keyboard shortcut.
The Users tab in the Organization Settings section is where user accounts are managed, including adding, editing and/or disabling an account. Only users who have been assigned a role of "Administrator" have access to this section and tab.
Users Tab contents:
Add User
To add a new user to your existing organization / subscription, navigate to the Organization Settings section > Users tab:
- Click
(Add User icon); the "Add New User" window opens.
- Enter the user Full Name and Email Address. The Email Address will be used to log into the application.
- Assign the Application Access by double-clicking or selecting Enter on the Application Access field and checking the box next to the appropriate role.
- Administrator- User can access the entire application, including this Organization Settings section. Administrators can add and manage Users and User Groups.
- Standard - User has access to the entire application excluding this Users Admin section, subject to Folder Permission settings on individual folders.
- Asset Manager - User can access the Asset Management module, if the organization has subscribed to the module.
Note: Upon completion of the access, the new user will receive an email with a temporary password which can be used to log into the application. Once logged in, the password may be updated within the User Profile.
By default, the "Enabled" field for a new user account will be set to "true," allowing the user to log into the application.
Edit User
To edit an existing user account, double click within the fields to be edited.
If the "Enabled" field is edited to be "false," the user account will be disabled and the user will no longer be able to log into the application.
Manage Subscriptions
To manage an existing subscription and update billing information, (1) navigate to the Organization Settings section on the left navigation panel, (2) select the Users tab, and (3) select the Manage Subscription icon.
The Manage Your Subscription window will open. Enter your email address to proceed.
You will be sent an email with a one-time password to log in to the rDCF subscription and billing system.
Note: This two-factor authentication step will occur every time you log in to Manage Your Subscription.
Upon successful login, the Manage Your Subscription Menu appears:
Here you can:
a. View / Edit your subscription
c. Edit Billing & Shipping Addresses
d. Add or Update Payment Methods
Subscription
Click on the white box to view the subscription expiration date and / or change your subscription.
Account Information
Click on Account Information to update:
- Personal details such as email
- Password
- Company
Billing & Shipping Addresses
Click on Billing & Shipping Addresses to change the addresses associated with your account.
Payment Methods
Click on Payment Methods to enter credit card information or direct debit information.
Note: No payment information is stored within the rDCF or the billing software database.
Billing History
Click on Billing History to see the billing history to date for your trial or subscription.
User Groups
Ctrl + Alt displays the numeric keyboard shortcut.
The User Groups tab in the Organization Settings section is where you can create groups of users to facilitate setting up and managing Folder Permissions in the Folder Section > Folder Settings tab. By default, an organization will have two system user groups:
- *Administrator - includes, by default, all users on the Users tab where Enabled = True and Application Access = Administrator is checked.
- *AllUsers - includes, by default, all users on the Users tab where Enabled = True.
Create a custom User Group
To add a new User Group, either click on the "+" button on the top left of the User Groups page or use the keyboard shortcut "Ctrl + Shift + +".
- Code - Enter a descriptive code of 20 or fewer characters. Note: the Code is what you will see in the Folder Permissions selection box.
- Name - Enter a descriptive name for the User Group. Field should be 50 or fewer characters.
- Users - click Enter to open the selection box and check the box next to each user you want to include in the User Group. When done, check the Show Selected box to view the users that are included in the group. To add more users, uncheck the Show Selected box and add users.
Helpful Hint: User Groups can be set up to separate users by function, geography, team, etc. User Groups can be given different access in different folders using the Folder Permission in the Folder section > Folder Settings tab.
Audit Log
Ctrl + Alt displays the numeric keyboard shortcut.
The Audit Log tab is where a record is kept of all changes that are made to data in the Organization Settings' tabs. The Audit Log is useful to determine:
- Who made the changes
- What changes were made
- When the changes were made
For each change that is made, the Audit Log adds a record (i.e., a row) providing the details of the change, including the following information:
Location: Identifies the Organization Settings tab where the change was made.
User: Identifies the user that made the change.
Operation/Change: Provides the details of the change that was made. Click on the caret arrow (▶) to expand the record to identify the specific changes. Prior values are listed in red text whereas the new value is listed in green.
Date: Identifies the date and time the change was made.
Boxes beneath the column headers allow the user to filter the data in the Audit Log. For all columns except Date, enter the text you wish to filter by, and the number of rows displayed will decrease based upon your filter criteria. Multi-column filtering is available (for instance, first filter by Property Code and then by User). To filter by Date, enter the date range that you wish to filter by, using the Date Min and Date Max fields.
To export the Audit Log to review entries, click the button located to the right of the column headers.
