Recovery Invoice for billing tenant estimates and displaying calculation components by tenant and pool.
Tip: Invoices are created similarly to financial reports at the Client level.

Info: Quick Pick Reports, located in the sliding pane at the Building level, allows Users to easily access and generate leasing, financial, and Quick Pick Reports that are building-centric and use default report parameters. When building Invoices at the Client level, the Quick Pick (Yes/No) and Quick Pick Version (Account, Subaccount, Budget Detail, or Report Design) need to be assigned.

Row Description - Invoice section title
Row Type
- 01 - Header - User defined label. No calculations performed
- 02 - Group Total - Indent - Calculates expense categories based on Client level Formulations
- 03 - Group Total - Indent with Details - Used for costs that contain a pool level gross-up or pool level admin fee. This row type splits the display into (i) budgeted amount, (ii) amount of the gross-up or (ii) admin fee and (iii) final pool total after application of the gross-up or admin fee.
- 04.1 - Group Total - Indent Amounts - Recovery pool “Type”= “Amount”, “Amount / Area” & “Expanse Rate”. This Ref ID displays each item in the pool on the invoice plus a total.
- 04.2 - Group Total - Indent Amounts Summary - Recovery pool “Type”= “Amount”, “Amount / Area” & “Expanse Rate”. This Ref ID displays just the total without details.
- 05.1 - Group Total - Indent Contributions - Recovery pool “Type”= “Tenant Contribution”. This Ref ID displays each item in the pool on the invoice plus a total.
- 05.2 - Group Total - Indent Contributions Summary - Recovery pool “Type”= “Tenant Contribution”. This Ref ID displays just the total without details.

- 06 - Uncapped Pool Total - Sum of all recovery pool line items where “Subject to Cap” = “No”. This total includes gross-ups and admin fees as applicable and ties to the Recovery Detail report
- 07 - Capped Pool Total - Sum of all recovery pool line items where “Subject to Cap” = “Yes”. This total includes gross-ups and admin fees as applicable and ties to the Recovery Detail report.
- 08 - Calc - Pre-CAP - Sum of Ref ID’s 2 – 5 or the pool total before caps or tenant level admin fees.
- 09 - Cap - Pool cap set at the tenant recovery level on the rent roll. In the cap “Constraint” dialog box, this cap refers to “Cap On” = “Pool”.
- 10 - Recoverable Pool Total - A calculation that adds the uncapped pool (Ref ID=06) to the LESSER of the pool cap (Ref ID=09) or the capped pool amount (Ref ID=07)
- 11 - Base Year - Stop amount from the rent roll
- 12 - Group Total - Net of STOP
- 13 - Pro-Rata Share % - Tenant pro-rata share; either calculated or specified
- 14 - Pro-Rata Share - Admin Fee - Tenant pro-rata share before admin fee
- 15 - Admin Fee % - Admin fee % input at the tenant recovery level on the rent roll
- 16 - Admin Fee $ - Tenant admin fee dollars (Ref ID 14 x Ref ID 15)

Tip: Pane 2 report design rows can be reordered by holding down the left-click button on the mouse and dragging the row to the desired location within the report design.
Pane 3
Next, individually selecting pane 2 rows opens pane 3 for adding invoice design detail pertaining to Accounts, Formulations, Recovery Pools and/or Report Design (pane 2 structure of report) when creating a new invoice, in addition to adding, editing, or deleting detail from an Invoice.
Percent (%) - Percentage value to include in the report
Type
- Account - Selection populates with all accounts (Active & Inactive) from the selected Chart of Accounts.
- Formulation - Selection populates with Active Client level Formulations.
- Recovery Pool - Selection drop-down populates with a list of available Client level Recovery Pools
- Invoice Design - Selection populates with row structure of the Invoice.
Selection - Account From: & To:, and SubAccount From: & To: (if applicable)
Tip: The pane 1 toolbar contains a copy feature used to assist Users in creating a new Invoice that may contain a few differences.
Note: Just like Client Admin Reports (financial reports), after creating an Invoice, it needs to be assign to Roles & Permissions.
Delete
To delete an Invoice or any of its design or detail:
- Select in pane 1, report design (pane 2), or invoice design detail (pane 3) to be deleted.
- Click "Delete" on the corresponding toolbar or right-click select from the drop-down menu; a pop-up warning appears asking to confirm and to prevent accidental deletion.
- Click "OK" and the invoice, invoice design, and/or invoice design detail is deleted.
Alert: Deleting an Invoice in pane 1 entirely deletes the it including all pane 2 invoice design, as well as pane 3 invoice design detail.
- Deleting pane 2 invoice design also deletes its pane 3 invoice design detail.
- Deleting pane 3 invoice design detail pertaining to accounts, Formulations, Recovery Pools, and/or invoice designs can be individually deleted.
- In any case, a pop-up warning will appear asking to confirm and to prevent accidental deletion.
