Calc (LTF)

Overview

  • Currently only available for Budget Type = LTF.
  • Updating named items (Market Items, Financial Components, etc.) does not trigger an update calculation. If the details of a % of Line item on the Expense Tab are updated, Formulation, Area Measure, etc., it will not auto-update on the Expense Tab; a calculation is required.
  • All iterative calculations require a Calc. Anything that includes the use of Formulations requires a Calc.
  • Edits and additions are not allowed while the calculation is in process. When a budget is in the process of calculating, Users are not able to edit a page until the calculation is complete. A pop-up message appears stating, "Budget/Building is currently being calculated..."
  • Calculate can be performed at the Building level (individual building) and at the Budget level for multi-building, single building, entire budget, or Portfolio specific calculating.
  • The budget's recent calculation history is displayed in the Budget Calc Status: section of the Budget Admin General page.
  • Breadcrumb displays a countdown when performing a multi-building calculation:
  • Report headers include the calculation status: [Calculated: Yes/No]

Alert: All Long Term Forecasting functionality needs to be active in your organization's environment BEFORE creating a LTF budget; it is not on by default and when active, Roles & Permissions need to updated as well in order to view and use all LTF functionality. Please submit a support ticket before attempting to create a LTF budget.

 

Calc Progression (Steps)

Order of the Calc process:

  1. Non-Tenant Budget Details for Named Item/Inflation Changes
  2. Distributions
  3. Rent Roll pre-Recoveries (Charges, Capital, % Rent, Vacancy, S-Line, etc.)
  4. Recoveries

 

Calc at the Budget Level

Budget level calculations can be executed using the:

  1. Breadcrumb link - Calculated: Yes/No
    • The breadcrumb link is always available while in any section of the application at Budget level.
    • The calculation status will display as Calculated: No if one or more aspects of the budget have been edited/updated since the last calculation.
  2. Calc button on the Budget Admin General toolbar
    • The same functionality as the breadcrumb Calculated: Yes/No link
  3. Budget Admin Buildings "Calc" button on the toolbar
  4. Budget Admin Buildings "Calculate" buttons in the Calculate column (for single building calculations)
    • Calc button on the toolbar - The same functionality as the breadcrumb Calculated: Yes/No link
    • Calculate button in the Calculate column - This button will only calculate an individual building. It's functionality mimics the process at the Building level; refer to "Calc at the Building Level" below.

Directions calculating at the Budget level:

  1. While at the budget level, click on either:
    1. The breadcrumb link, Calculated: No, located at the top of the page
    2. The Calc button on the Budget Admin General toolbar
    3. Or, the Calc button on the toolbar at Budget Admin Buildings; the "Calc" window appears.
      • These three allow for calculating:
        1. An entire Budget
        2. An entire Portfolio
        3. Multiple buildings within a Portfolio
        4. An individual building
      • At Budget Admin Buildings, the "Calculate" button in the Calculate column is for individual building calculations and it's functionality mimics the calculation process at the Building level; refer to "Calc at the Building Level" below.
  2. Select/assign the parameters:
    • Calc Needed Only - Calculates all Buildings within the Budget whose Status = Calculated: No. The Available Portfolios & Buildings > >> << < Selected Portfolios & Buildings are not applicable when "Calculate Needed" is selected; all Buildings within the Budget whose Status = "Calculated: No" are calculated.
    • Calc All - Calculates all Buildings within the Budget regardless of their current calculation status. The Available Portfolios & Buildings > >> << < Selected Portfolios & Buildings are not applicable when "Calculate All" is selected; all Buildings within the Budget whose Status = "Calculated: No" are calculated.
    • Calc Selected Below
      • Selection: (Only applicable when Calculate Selected Only is applied)
        • Portfolio - Move Available Portfolios to Selected Portfolios by double clicking or highlighting and using the arrows (> >><< <). All buildings within the Selected Portfolios will be calculated. All available buildings are listed based on Selected Portfolios.
        • Building
          • Move Available Portfolios to Selected Portfolios by double clicking or highlighting and using the arrows (> >><< <). All available Portfolios are listed based on current user's assigned Portfolios at Client Admin User Security and Budget Admin Users.
          • Move Available Buildings to Selected Buildings by double clicking or highlighting and using the arrows.
  3. Click Calculate; the "Budget Calc Status:" window appears.
    • In the Affected Buildings: section, the building(s) included in the parameters are listed.
    • Name, Status, Type, User Building ID, NRA are included.
    • Start Time & End Time will update in real time while the calculation is in process.
    • Status
      • In Process - Currently being calculated
      • Awaiting Calc - Calc is in queue
      • Yes - Budget/building has been and is currently calculated
      • No - Not calculated.
    • Each line updates showing the progress.
    • The "Budget Calc Status:" window can be closed at anytime during the process.
    • The Breadcrumb displays a countdown when performing a multi-building calculation: Calculated: No (# remain)
    • When the calculation process completes, the breadcrumb will change from Calculated: No to Calculated: Yes.
    • If using the "Calculate" button in the Calculate column at Budget Admin Buildings for a single building calculation, the "Building Calc Status:" window containing the Building Calc: section will appear.
    • Log Message (window) - At any time during the calc process, a user can click on any blue link in the Status column. A pop-up window will appear displaying the "Steps" during the process.

 

Calc at the Building Level

Building level calculations can be executed using the:

  1. Breadcrumb link - Calculated: Yes/No
    • The breadcrumb link is available while in any section or budgeting tab at the Building level.
    • The calculation status will display as Calculated: No if one or more aspects of the budget/building have been edited/updated since the last calculation.
  2. "Calc" button on the Building Admin General toolbar.

Directions calculating at the Building level:

  1. On the Building Admin General toolbar, click the "Calc" button. Or, click the breadcrumb link: "Calculated: No;" the "Building Calc Status" window appears.
  2. Click the "Calculate" button in the window.
    • In the Building Calc: section, the building(s) included in the parameters are listed.
    • Name, Building Status, Type, User Building ID, NRA are included.
    • Start Time & End Time will update in real time while the calculation is in process.
    • Status
      • In Process - Currently being calculated
      • Yes - Budget/building has been and is currently calculated
      • No - Not calculated.
    • The "Calculate Building Calc Status" window can be closed at ant time; you do not have to wait for the process to finish.
    • Log Message (window) - At any time during the calc process, a user can click on any blue link in the Status column; a pop-up window will appear displaying the "Steps" during the process.

 

Calculation Status on Reports

Report headers include the calculation status: [Calculated: Yes/No]
