The Export Expenses functionality, located on both the Budget Admin General and Building Admin General toolbars, exports simple style input modes (Monthly, Annual, Quarterly, & Semi-Annual) into Excel.
Export at the Building Level (single building)
- Click the "Export Expenses" button on the Building Admin General toolbar; the "Export Expenses" window appears:
- Account From: & To: Select the account or range of accounts in the Account From: & To: fields.
- All accounts from the Chart of Accounts are listed, Active & Inactive.
- A user can limit the export to a range of accounts with the drop-down menus.
- Begin Date: Defaults to the budget begin date. If in a multi-year budget, use the calendar icon to change the date if not wanting to export for the entire budget term.
- Term: List of years in the budget. Defaults to the number of years in the budget term.
- Suppress zero: Checked = Yes
- Account From: & To: Select the account or range of accounts in the Account From: & To: fields.
- Enter parameters and click "Begin Export."
- In the Status: section, after the file is generated select, "Click here to download the file." The user is then prompted with IE Open & Save options.
- Click "Open" or "Save As" to save the Excel file on a local or network drive.
Export at the Budget Level (all or subset)
- Click the "Export Expenses" button on the Budget Admin General toolbar; the "Export Expenses" window appears:

- Building - Export returns Selected Buildings
- Portfolio - Export returns Selected Portfolios. When Source = Portfolio, you do not need to select any buildings, the export will return all buildings in the Selected Portfolios.
- Export Type - Excel (only)
- Begin Date - Defaults to the budget begin date. Use the calendar icon to change the date if needed.
- Term - Drop-down list of budget years; defaults to the number of years in the budget term.
- Account From & Account To - List of all accounts in the Chart of Accounts. Defaults to first and last accounts in the Chart of Accounts. Select a single account or range of accounts.
- Suppress zero: Checked = Yes
- Available Portfolios > >> < << Selected Portfolios - Population based on user's assigned Portfolios in Client Admin User Security (Portfolios can also be assigned at Budget Admin Users). When Source = Portfolio, export/query will be run over selected/assigned Portfolios
- Available Buildings > >> << < Selected Buildings - Population based on Selected Portfolios. When Source = Building, select Portfolios and then Buildings. When Source = Portfolio, do not move any buildings; the export will return all buildings in the Selected Portfolios list.
