Monthly, Annual, Quarterly, & Semi-Annual
Monthly spreads input value monthly. All columns are editable.
Annual spreads the value entered/12 to all months.
Quarterly spreads amount to months 1, 4, 7, 10.
Semi-Annual spreads amount to months 1 and 7.
- Click in the Value/Selection column and enter the budgeted amount.
- Press Enter on the keyboard. The budgeted amounts appear in the grid allocated based on the chosen Input Mode.
Info: If Annual, Quarterly, or Semi-Annual is assigned, the monthly amounts can only be edited by changing the Input Mode to Monthly and then change the monthly amounts as needed.
Named Rates
Named Rates are defined at the Budget and/or Building levels. They are predetermined rates that can be updated/administered and recalculated on the fly then multiplied by an Area Measure (i.e. occupancy might change via the Rent Roll).
- Select "Named Rates" from the drop-down menu in the Input Mode column.
- Click in the Value/Selection column; a pop-up window appears.
- Select the Named Rate: and Area Measure: to apply by clicking the arrow or inside the box.
- Click "OK" and the budgeted amounts appear in the grid.
$/SF/Yr & $/SF/Mo
Calculates based on the Area Measure selected and recalculates when the occupancy changes via the Rent Roll.
[Select...] appears in the Value/Selection column.
- Amount entered is multiplied by an Area Measure.
- Click "OK" and the budgeted amounts appear in the grid.
% of Line Item
% of Line Item is based on system or custom Formulations. They are recursive and calculate on the fly.
System defined % of Line Item Formulations:
- % of Rent Revenue - All accounts used for Charge Codes of Type = Rent. Pulls the balances from the accounts that are assigned to the Charge Codes (only tenant calculated results).
- % of Total Revenue - All income account types, tenant driven or not.
- % of Expenses - All accounts of Type = Expense
- % of NOI - Net Operating Income; total revenue less expenses
- % of Capital - All accounts of Type = Capital
- % of CF - Cash flow: NOI less capital. [Select...] appears in the Value/Selection column.
Enter a percentage that can be applied to a system defined Formulation.
Click "OK" and the budgeted amounts appear in the grid.
Alert: When adding % of Line items in Long Term Forecasting budgets (LTF), a budget/building Calc needs to be performed; they will not auto-calculate upon initial insert.
Excel Import
Data populated via an Import from Excel.
When imported, the Type: was set to Standard versus System (Excel System - see below).
Clicking on this Input Mode will return the original import file.
To edit, edit the file and re-import. If the account code and description exactly match, it will be overwritten. If not, a new line will be added. Or, change the Input Mode to Monthly.
System
Items designated as System inputs are derived from system definitions (e.g., Distributions & Management Fee) and are not allowed to be edited.
Actuals
An Input Mode of Actuals means that actual data has been imported from the accounting system as of the date indicated in red at the top right section of the screen as depicted below.
Actual amounts are not allowed to be edited. In order to edit, change the Input Mode to Monthly and Save.
Excel System
When imported, the Type: on the 'Import Excel Data' window was set to System which does not allow any future edits versus Standard (Input Type = Excel Import).
To edit, edit the file and re-import. If the account code and description exactly match, it will be overwritten. If not, a new line will be added.
System Offset
Distributions > Offset > **Per Formulation
A system created contra line item (-100%) is created for each account listed in the Source Formulation in the source building on the corresponding budgeting tab.
